1. Make sure it scales with users.

Don’t go for age-old desktop software or those that require payment of increasing premiums on licenses. They will not be cost-effective in future, and may not be able to handle an increasing number of users.

2. Ensure proper user permissions.

Make sure all users can be assigned different permissions as per need. You would want Sales to not see Production details and vice versa. Usually, good software has proper role definition and user assignment.

3. Look for decent support options.

Either software should be supported by its community or it should be supported by the company. Make sure their support packages are not charging an exorbitant amount.

4. Pay for what you use.

If you are paying a license fee, you should ensure its hosted by the software company, there is a proper backup for your data, and prompt support exists.

If you are using Open Source or Free software, make sure the software has enough stable builds. The code can be deployed and maintained by someone internal. You should ideally have an option to set up on a cloud service.</p>

5. Most importantly, make sure it serves your purpose.

Any software — costly or cheap, open-source or paid — won’t work if it doesn’t serve your purpose. While almost all options will look doable on a quick glance, until you implement for some time or map it with your processes, you won’t realize whether it’s going to be worth the money/effort or not.
